Executive Assistant, Senior

Key Role:

Maintain responsibility for the critical organization, prioritization, and scheduling for a Vice President and Principal or Director in the Booz Allen Hamilton Norfolk campus office. Assist the executives with managing and prioritizing daily workload around emerging issues, including preparing meeting materials, maintaining continuity of office in the executive's absence, and overseeing and managing processes tied to compliance, annual summaries, budgets, onboarding staff, and other administrative activities, as they are rolled out and completed by staff. Perform duties of a highly confidential nature requiring intuitive judgment, knowledge, and ability to relieve the executive of administrative details, including supplying requested information, scheduling appointments, preparing special reports, and obtaining information from sources within or outside of the company. Leverage the continuous use of technical and business vocabulary and a detailed knowledge of company operations, organizational procedures, and personnel. Make independent decisions regarding planning, organizing, and scheduling work within established guidelines.

Basic Qualifications:

-5+ years of experience with providing executive-level administrative support or public-sector consulting support in a large, corporate environment

-Experience with Microsoft Office, including Word, Excel and PowerPoint at an advanced level, Outlook, and SharePoint required

-Experience with calendar management, making domestic and international travel arrangements, and managing expense report

-Experience in management consulting firms or public-sector support

-Experience with planning large meetings and off-sites for executive groups

-Experience with designing, facilitating, and conducting tasker responses

-Ability to provide seamless support to local and virtual senior–level executives, be self–motivated, work independently, collaborate as part of a team to achieve business goals, and multi–task independently in a fast–paced environment

-Ability to proofread on grammar and punctuation with a high level of accuracy

-HS diploma or GED and 7 years of experience with providing executive-level administrative support or AA degree and 5 years of experience with providing executive-level administrative support

Additional Qualifications:

-Experience with gathering and analyzing quantitative and qualitative data and developing administrative reports and providing recommendations

-Experience with executing independent decisions within established guidelines and leveraging general management consulting expertise and technical knowledge

-Experience with planning and executing large events or meetings

-Knowledge of business correspondence and drafting letters and memos for executive signature

-Knowledge of management consulting, government contracting, and federal procurement cycle and processes a plus

-Ability to provide proofreading, word processing, and graphics support, as needed

-Ability to quickly learn organization structure with the executive's key stakeholders

-Ability to anticipate issues and to take and recommend actions

-Possession of excellent oral and written communication skills

-Ability to obtain a security clearance

-BA or BS degree preferred
